On Tuesday March 20th, 2007, the Associated Press reported a computer tech wiped out $38 billion dollars of account data for Alaska's Department of Revenue. The article reported that it would cost about $200,000 to re-key the data from their paper backups in over 300 boxes. This story is not uncommon, and data loss could cost more: it can put you out of business. For most home users, data loss means lousing address books, pictures, memories, resumes, check books, and music. While this probably is not catastrophic, some can never be recreated. For a business though, their data makes them more efficient: pulling something up in the computer and not having to pull a paper file. For some businesses, this data is critical. To determine how critical your data is, go a month without using is: do not open any existing documents, no computerized accounting, don't think about sending an email using your address book, and do not use Outlook in general. When your data is gone, it has gone to digital "La-La Land" to never return.

The Value of Data

When considering the value of your data, we have two routes: data recovery, and data re-creation. Data recovery for a single drive may cost from $750 - $3,500. A stripped RAID array with parity (RAID 3) would cost from $2,250 to $10,500. If data recovery is possibly, it might be worth considering.

Over the past several years there has been a confluence of the definitions of Data Recovery, Data Backup and Restoration, and Disaster Recovery. The merging of these definitions does not serve the industry. It only serves to confuse the consumer, the very people these various industry segments want to reach.

Data Recovery
Defined as the process of extracting data from inaccessible storage media or storage system such as hard drives, tapes, optical media and RAID's. The process involves repairing physical damage, repairing electrical damage, correcting media maintenance information, correcting data corruption, undeleting files or some combination thereof.

Data Backup and Restoration
This process begins with an intentional effort to store data on alternate media such as tape, optical media, hard drives, other storage systems or an online service. That's the Backup portion. In the event of a failure of the primary storage media, the alternate media is used to restore data from the alternate source to a new primary source. That's the Restoration segment.

Disaster Recovery
The process of returning an entity, such as a business or home office, to a functional and optimal state after a natural disaster or man-made event that either completely or partially impairs the function of that entity. There are key differences that make these definitions and industries unique. Data Recovery is usually considered after data restoration has been eliminated as an option. Data backup and restoration is considered a primary function of computing to ensure data is safe from media failures. Disaster Recovery takes into consideration the complete infrastructure including facility restoration, data restoration and data recovery as a last resort.

In a literal sense there is an intentional effort to ?recover? data from some sort of catastrophic event in all three environments. That may be the source for the merging of these terms.

Confusing the consumer is not the only effect of this merging or confluence. Do a search in Google News for ?Data Recovery?. You'll find results appear for all three definitions on the first page. You may be in a situation where you know your data is not being backed up correctly ? or at all. You know it needs to be looked into????.but you just can?t ?find the time? to speak to the other team members about it.

Data is the second most irreplaceable and valuable asset after ?people?. In the event of a disaster, insurance money can only pay compensation and replace tangible assets; it cannot replace people or your unique data.

So where do you start? Well every business has their own requirements and generally will look to their IT support company for advice on their specific needs. In my experience, IT companies (particularly for SMEs) just rather organise blue cable, servers, peripheries and maintenance plans ? than ensure a decent Disaster Recover (DR) plan is in place. And if they recommend a DR plan, it will be based on their biases on the subject.

Here is what to consider and investigate when developing a data backup plan.

First ? How much data are you generating each day? That is how many Gigabytes? Second. How many days/hours of data can you afford to lose? Third. If there is a major systems failure ? how much downtime can you afford?

How much daily needs to be backed up daily? You should only need to do an incremental backup of the NEW data for the day. When to do a FULL backup? ?????. Usually weekly. Also you may require Archive backups?????often monthly.

Once you know the quantity of data to backup daily & weekly, you can then decide on the method.

You need to consider how much data needs to be stored on Disc (eg NAS) for rapid access in case of a systems failure; and how much data can be stored on Tape (LTO, DLT). Tape is cheaper to run but takes longer to backup and access. The simplest method is to buy a Tape drive unit that can backup about 200 ? 400 GB of data. The costs vary ($1000 - $2000) for the unit and the individual tapes cost about $50 - $60 each (you often need about 20 tapes). If your data is close to a Terabyte (TB), you are now looking into more money to set up ($5000 - $10000). On the other hand, you can store a lot of your daily data on Disc Storage (NAS etc..) however the hardware can be very expensive to purchase and very expensive to operate. You need to keep the units running constantly - even if you just want to have access to a simple word file ? the whole unit needs to keep running. A lot of electricity for disc, whereas tape just sits on the shelf.

Some experts will say tape is vulnerable to damage and corruption. The solution is the make multiple tape backups and then store in a cool, safe place. Tape actually can last years without damage.

Many companies offer off-site tape storage. This allows you to store tapes in a library/cataloguing system that can be viewed online. They are kept in a secure vault with idea climate conditions for tape longevity. You are also able to instruct the storage company how often they visit your office to exchange your backup tapes on an agreed tape rotation plan.

You just have to know what data you need to store for rapid access (Disc storage) or archive or not so urgent (Tape) and balance your expenditure and operating costs accordingly. Also remember to factor in the amount of data increase you are experiencing in your organisation (thanks to emails and larger file sizes ? there is at least a 50% increase in all extant data per annum!!!)

What about the Internet?

Yes some people have backup software that allows their data to be de-duplicated and compressed so as to fit in the available bandwidth. Some IT people actually backup onto the available space in the their Website Database. Web hosters often offer a certain amount of data to be stored in the back end of the web site itself - for a monthly fee. Just check to see the extra costs associated with data transfer. Also in the event of a systems failure (where communication lines can go down ? thus internet and WAN) how are you going to retrieve the data?

IT people are also known for taking home older servers ? placing them in their garage and backing up data over the internet to their second hand PCs. Is this a reliable solution considering sick days, holidays, burglary and internet integrity?

Some companies will host your data in a similar way to Web hosters? Just ensure that they are in fact a suitable option when you factor in costs, reliability, bandwidth, data restoration time and DR.

- Physical damage ? when your data storage unit gets physically damaged, data recovery is often difficult. Physical damage can translate into a badly scratched CD or DVD containing essential data, a failing hard disk head or motor and so forth. Physical damage can be avoided, but you can never really protect yourself from it 100%. A hard disk for example, can break down due to aging, constant workload and so forth. CDs and DVDs aren?t fully protected even if you keep them in the cleanest, scratch-free conditions possible.

The study, also carefully point out that the study didn't necessarily track actual drive failures, but cases in which a customer decided a drive had failed and needed replacement. The study also explains that no vendor-specific failure information, and that his goal is not "choosing the best and the worst vendors" but to help them to improve drive design and testing. Also, little difference in replacement rates between SCSI, FC and SATA drives, potentially an indication that disk-independent factors, such as operating conditions, affect replacement rates more than component specific factors. Time between replacements, a proxy for time between failure, is not well modelled by an exponential distribution and exhibits significant levels of correlation, including autocorrelation and long-range dependence.

In a recent case, AAB Joint Venture v. United States, 2007 WL 646157 (Fed. Cl. Feb. 28, 2007), the court heard an argument regarding the a period of time (data) for which that data was not available. The defendant claimed that it had provided all e-mails related to the case. However, the court was not persuaded by defendant?s arguments, and agreed that defendant?s overall production of emails had been far from adequate. The court also said that, while cost was an issue for the court to consider in addressing a motion to compel, it was not the only consideration. The court continued with the following statement:

Here, because the Court finds that defendant had a duty to preserve evidence, as set forth below, the Court cannot relieve Defendant of its duty to produce those documents merely because Defendant has chosen a means to preserve the evidence which makes ultimate production of relevant documents expensive. Accordingly, the Court concludes that Defendant has not adequately responded to Plaintiff's requests for production of electronic documents and that supplementation of its response to Plaintiff's requests is necessary.

IT departments should verify backups are able to be restored and the data is intact. Not many IT departments routinely check the back-up server's error logs to discover potential problems. Only when a disaster occurs do they realized that the scheduled backups have not been collecting all of the data.

From an IT point of view, this is one of the worst case scenarios they deal with on a daily basis. From a legal point of view, those backup tapes...or lack thereof...are just as damaging. Those tapes represent a snapshot in time for that company which can either help or hurt their litigation.

Essential Tips For Backups, Data Safety - Avoiding Data Recovery

Backup, backup, backups!

If there's one thing I've learned in 20 years and 12,000 data recoveries, it's that everybody doesn't back up their data sometimes. Computers may be dumb, but they know when you don't have your data backed up - because THAT's when they break. Don't let your computer fool you - back up new data daily.

It's important that you keep two alternating backups, and an additional spare piece of media. This means to have one disk (or tape, or thumb drive) labeled "EVEN" (for even-numbered days, one labeled "ODD" and one spare. Eventually, something will go wrong with a backup. For example, if an error occurs on an "EVEN" day, and you put in your "ODD" backup, you may ruin both. Instead, put in the spare. If there is a problem, you've saved your extra backup (from the day before yesterday) and have not wasted all your hard work. If there is no problem, and it was only a temporary glitch, then put your spare back on the shelf, reformat the "EVEN", and carry on with your backup.

What's the best thing to make a backup on?

There are a lot of ways to back up your data. Most new computers come with CD-R, or CD-RW drives. Most PCs still come with floppy disk drives (and you can get one for a Mac). There are Zip drives, tape drives, USB "thumb" drives, and more. My current favorites are External FireWire or USB 2 drives, and CD-R for full backups, and USB thumb drives for smaller amounts of data.

There are quite a few external drives on the market today and if you have a computer that's less than three years old, you probably have the ports for hooking these up. They usually come with backup software as well. As of this writing, the drives are mostly under $200. Once installed, it's a good idea to leave these drives off except when backing up. That way, a power spike or other environmental event that may destroy data on your hard disk will be unlikely to damage the external hard disk.

For CD-RW drives, I recommend using CD-R media only, as it's too easy to overwrite a previous backup using a CD-RW disk. This is a good form of backup for large amounts of data (they hold more than 650 MB), and each disk is inexpensive. But it leaves you with a lot of plastic disks sitting around. That's why I typically use them only for large backups. Heat, bending, and scratching are the enemies of CD disks. Incidentally, while it's hard to do CD-ROM recovery, it is possible to recover CDs that are damaged.

Zip drives come in sizes from 100 MB to 750 MB and cost from $60 to $200, while additional disks cost around $10 each. These are sensitive to dust, shock, too much heat, and big magnets. Remember to alternate backups with Zip disks as a damaged Zip drive can damage a Zip disk. Zip disk recovery is possible, but tends to be less successful than recovering other media.

Floppy diskettes don't hold very much (1.4 MB), but cost a few cents, and are easy to carry around. Almost all PCs have them, and quite a few Macs do. Floppies are sensitive to heat, magnetic fields, dust, bending and other rough handling.

Tape drives should only be used for very large amounts of data. They are relatively expensive and slow. They're great on large networks for after-hours backups, but they're easily damaged. Tape recovery is difficult and expensive.

I am an unabashed fan of USB thumb drives! These are actually memory sticks with a USB plug on the end that act like portable hard disks. They are sturdy - I accidentally let one go through the wash in my shirt pocket. After it dried out, it still had my data on it (don't try this at home)! While we've been successful performing USB data recovery, in this case, it wasn't even necessary! They come in sizes from 64 MB to more than 2 GB. They can be shared and used on PCs and Macs without reformatting. You can buy one at a local computer or electronics store for $35-$150.

What's the alternative to backing up your data? Well, as every drive eventually fails, it's pricey data recovery or data loss, which can be devastating
